Welcome to Leo Bet Coach. This website and business are operated by The Mindset Space (“we,” “our,” or “us”). We are committed to protecting your personal data and respecting your privacy in accordance with the General Data Protection Regulation (GDPR) and the Dutch Implementation Act (UAVG).

3. What Personal Data We Collect

We only collect data that is necessary for our services. This includes:

  • Identity Data: First name, last name.
  • Contact Data: Email address, phone number.
  • Payment Data: When you pay via bank transfer, we see the sender details (Name, IBAN/Account Number) on our bank statements. We do not collect or store credit card data.
  • Session Data: Notes taken during coaching sessions. If you have explicitly consented in our Coaching Agreement, we may also process video/audio recordings of your sessions exclusively for training, development and assessment of the coach.
  • Technical Data: IP address, browser type, and time zone settings (collected automatically by our scheduling tools).

4. Legal Basis for Processing

Under the GDPR, we rely on the following legal bases to process your data:

  • Performance of a Contract: To deliver the coaching services you booked.
  • Legal Obligation: To keep tax records and invoices for the Dutch Tax Authority (Belastingdienst).
  • Legitimate Interest: To manage our relationship with you and improve our services.
  • Consent: For session recordings (you may accept/decline/withdraw this at any time).

5. Data Sharing & Third Parties

We do not sell your data. We share data only with trusted processors necessary to run our business, who are also bound by GDPR standards:

  • Booking & Scheduling: Calendly (view their Privacy Policy)
  • Video Conferencing: Zoom
  • Invoicing: Invoice Ninja
  • Email & Hosting: Zoho Mail, WordPress

6. International Transfers

As we are based in The Netherlands, your data is primarily processed within the European Economic Area (EEA). If we transfer data outside the EEA (e.g., to software providers in the US), we ensure they adhere to strict data protection standards (such as the EU-US Data Privacy Framework or Standard Contractual Clauses).

7. Data Retention

  • Client Records: Retained for the duration of our coaching relationship + 2 years.
  • Financial/Tax Records: Retained for 7 years as required by Dutch tax law.

8. Your Rights

You have the right to:

  • Access your personal data.
  • Correct inaccurate data.
  • Delete your data (“Right to be Forgotten”).
  • Restrict or Object to processing.
  • Data Portability (receive your data in a readable format).

9. Newsletter & Subscription

We offer a free newsletter that shares insights, coaching tips, and updates on our latest blog posts. To subscribe, you provide your email address via our website’s subscription form.

  • Legal Basis: We process your email address based on your explicit consent (your subscription opt-in).
  • Content: The newsletter contains the same content as our future blog posts, along with occasional announcements about coaching services.
  • Storage: Your email address is stored securely on our WordPress hosting platform.
  • Unsubscribe: You can unsubscribe from the newsletter at any time by clicking the “Unsubscribe” link in any email or by contacting us at leo@leobetcoach.com.
  • Data Retention: We retain your email address for as long as you are subscribed. Upon unsubscribe, we delete your email within 30 days.

10. Cookies

Our website uses minimal cookies to function. We do not use advertising or tracking cookies.

  • Functional Cookies: We use third-party tools like Calendly for scheduling. Calendly may place cookies on your device to remember your time zone and session details to facilitate the booking process.
  • Control: You can set your browser to refuse all or some browser cookies, though this may cause the booking scheduler to function incorrectly.
